Set Up Microsoft® Exchange - Outlook® 2007
Note: Hosted Exchange is not compatible with Terminal Services.
Autodiscover
The most convenient way to set up Outlook is to use Autodiscover. Autodiscover allows Outlook to connect directly to the Exchange server for setup. Only Autodiscover supports full Exchange functionality. Administrators should click here to learn about setting up Autodiscover DNS settings.
Creating An Outlook Profile Using Autodiscover:
1. Click the Windows Start button.
2. Select Control Panel.
3. Double-click the Mail icon. Note: Depending on your version of Windows, you may need to switch to Classic View to find the Mail icon.
4. Click the Show Profiles button.
5. Click the Add button to build a new profile.
6. Enter a name for this profile, as desired. This is for your reference only. Then click the OK button.
7. In the resulting window, enter the following information:
- Your Name - Enter your name, as you would like it to be displayed within Outlook.
- E-Mail Address - Enter your full email address, using all lowercase letters.
- Enter your email password in the Password and Retype Password fields, and then click the Next button.
8. You may see a pop-up window, asking if you want to Allow this website to configure your server settings. If so, check the box for Don’t ask me about this website again, and then click the Allow button.
9. When prompted, enter your username and password. Your username is your entire email address, using all lowercase letters.
10. If your DNS records are correct, then you should see a message that states, "Your e-mail account is successfully configured to use Microsoft Exchange."
11. Click the Finish button.
12. Outlook will open, and you can start using your Hosted Exchange Mailbox.
Setting Up Outlook Using a PRF Configuration File:
We encourage customers to set up Outlook using Autodiscover. The full set of Exchange features will not be available without autodiscover. There is, however, another way to set up Outlook, PRF import. To use the PRF method, each user will need to log into the User Control Panel, download a personalized PRF (Outlook Profile) configuration file, and then run the file.
Note: Setting up Outlook using the PFR file will remove all existing accounts. You may want to back up existing accounts.
To set up Outlook using a PRF configuration file, perform the following:
1. Press Ctrl + Alt + Delete to launch your Windows Task Manager. If you see "outlook.exe" in the list, select it and click the End Task button. This ensures that Outlook is not running, since sometimes third-party Outlook plug-ins do not shut down properly.
2. Log into the User Control Panel at https://cp.rackspace.com/usercp, using your email address and password.
3. Click the Download Your Outlook Profile link.
4. Click the Save button, and save the file to your root C:\ system folder.
5. Click the Windows Start button, and select Run.
6. Type the following in the command line:
outlook.exe /importPRF c:\<username>.prf
Note: Replace <username>.prf with the exact name of the .prf file you downloaded above.
7. Click the OK button.
8. Outlook will launch automatically. If you receive a warning popup window, click theYes button.
9. When prompted, enter your username and password. You may need to enter it more than once throughout this process, as Outlook sets up your mailbox for the first time.
10. Click the OK button. You will now have full access to your mailbox through Outlook. Though you’ll be prompted twice for your email address and password information during this initial setup, future logins should only require you to enter the information one time.
Setting Up Outlook Manually:
We encourage customers to set up Outlook using Autodiscover. The full set of Exchange features will not be available without autodiscover. However, if you are unable to access your DNS or download files, you can set up Outlook manually by performing the following steps:
1. Log into your User Control Panel at the following URL:
https://cp.rackspace.com/usercp
2. Under the Client Setup section, click the Outlook 2007 link. This will open theSetting Up Outlook 2007 window. You will need this information to set up the account.
3. Click the Windows Start button.
4. Select Control Panel.
5. Double-click the Mail icon. Note: Depending on your version of Windows, you may need to switch to Classic View to find the Mail icon.
6. Click the Show Profiles button.
7. Click the Add button to build a new profile.
8. Enter a name for this profile, as desired. This is for your reference only. Then click the OK button.
9. Select the Manually configure server settings or additional server types check box.
10. Click the Next button.
11. Click the Microsoft Exchange option button.
12. Click the Next button.
13. Enter the Microsoft Exchange server address from the Setting Up Outlook 2007 Manually section in the Setting Up Outlook 2007 window.
14. Select the Use Cached Exchange Mode check box.
15. In the User Name box, enter your full email address.
16. Click the More Settings button.
17. Click the Connection tab.
18. Under Outlook Anywhere, select the Connect to Microsoft Exchange using HTTP check box.
19. Click the Exchange Proxy Settings button.
20. Enter the Proxy Server address from the Setting Up Outlook 2007 Manuallysection in the Setting Up Outlook 2007 window.
21. Select the On fast networks… and On slow networks… check boxes.
22. Under Proxy authentication settings, select Basic Authentication.
23. Click the OK button.
24. Click the OK button.
25. Click the Check Name button.
26. In the Connect window, enter your email Password and click the OK button.
Note: You may get a pop-up asking you to select your mailbox from a list. Select your mailbox and click the OK button.
27. Click the Next button.
28. Click the Finish button.
